user.beepscard.com, your Virtual Card/NFC page, and your WhatsApp Store. It does not replace the general Privacy Policy for the main beepscard.com website, which covers the marketing site itself — see that policy for company-wide terms. Where this page and the general policy overlap, this page's dashboard-specific detail is the more accurate description of how the product works.

1. Two kinds of people this policy covers
The Beepscard dashboard handles data for two different groups, and this policy addresses both separately so it's actually useful rather than generic:
- Account holders — people who sign up for Beepscard, build a Virtual Card, order NFC cards, or run a WhatsApp Store. If that's you, see section 2.
- Visitors — people who scan a QR code, tap an NFC card, or open a link to view someone else's Virtual Card, book an appointment with them, or order from their WhatsApp Store. If that's you, see section 3. If you're a visitor and want something about your data changed, the fastest path is usually to contact the card owner directly — they control the content and settings of their own card.
If you're an account holder, you're generally responsible for using visitor data you collect through your card (inquiries, newsletter signups, appointment bookings, orders) lawfully and only for your own legitimate business purposes.
2. Information we collect from you (account holders)
Account & profile information
When you register and use Account Settings, we collect your name, email, phone number, and — if you provide them — address, city, country, postal code, and an identification number.
Your Virtual Card content
Whatever you add while building your card: profile and cover photos, description text, business hours, services and products, gallery images and videos, testimonials, blog posts, social links, custom links, payment links, and any Custom CSS/JS you choose to add. This content is stored so it can be displayed on your public card.
Uploaded media
Images you upload (profile photos, covers, galleries, logos, product photos) are processed and stored on our servers or cloud storage to serve your card. If you use the "Generate Description with AI" feature, the text you provide is sent to our AI provider to generate a suggestion, which you can edit before saving.
Payment & billing
When you subscribe to a plan, order an NFC card, or pay for anything else on the platform, your payment is handled directly by our payment processor (such as Razorpay and other supported gateways, depending on what's enabled on your account) — Beepscard does not receive or store your full card number. We keep a record of the transaction (amount, date, status) for billing and support purposes.
NFC card orders
Ordering a physical NFC business card collects your shipping name, address, phone number, email, and — if you choose to have your own logo printed — the logo image you upload.
Affiliate program
If you use the affiliate/referral program, we store who signed up through your referral link and the payout details you provide for withdrawals (a PayPal email address or bank details).
Account security
If you enable Two-Factor Authentication, we store the authentication secret and recovery codes needed to verify your logins — these are used only for account security.
Support & communications
If you contact us for help, we keep a record of that conversation so we can respond and follow up.
3. Information collected from your card's visitors
This is data collected when someone views or interacts with your Virtual Card, NFC card, or WhatsApp Store — processed on your behalf, so you can see it in your dashboard.
- Analytics (if enabled)
- Each time someone opens your card or store (and it's not a repeat visit in the same session), we log: the page viewed, the referring link, an approximate location derived from their IP address (country), browser, device type, operating system, browser language, and the visitor's IP address. This powers the visit charts and country/device/browser breakdowns shown in your Analytics tab.
- Contact form ("Inquiries")
- Name, email, phone, message, and an optional file attachment, if a visitor uses your card's contact/enquiry form.
- Newsletter subscriptions
- Email address, if a visitor subscribes through your card's or store's newsletter pop-up.
- "Add to Contacts" downloads
- If enabled, visitors can download your details as a standard contact file; we also record who did this (name, email, phone) so you can see it as a lead.
- Appointment bookings
- If you offer bookings, a visitor's name and contact details, the time they booked, and — for paid appointments — payment is handled by our payment processor the same way as your own payments (see above).
- WhatsApp Store orders
- If you run a WhatsApp Store, a customer's order (items, quantities) is recorded in your dashboard order list. Orders are placed and typically completed directly between you and the customer over WhatsApp — Beepscard does not process payment for these orders and is not a party to that transaction.
If a visitor wants their information corrected or removed and it was collected through your card, contact the card owner directly, or reach out to us at the address in Contact us and we'll do our best to help route the request.
4. How we use information
- To operate the dashboard, your Virtual Card, NFC ordering, and WhatsApp Store
- To process payments, orders, and subscription billing
- To show you analytics about your own card's visitors
- To secure accounts and prevent fraud or abuse
- To send service-related emails (verification, receipts, appointment confirmations, password resets)
- To provide customer support
- To maintain, improve, and troubleshoot the platform
- To comply with legal obligations
7. Data security
We use reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS), access controls, and secure storage for sensitive fields. No method of transmission or storage is 100% secure, so we can't guarantee absolute security — but we treat account and card data as sensitive and design the platform accordingly.
8. Data retention & deletion
We keep your account and card data for as long as your account is active, so the service keeps working. If you use Delete My Account (available from your account menu), we permanently delete your account data and associated content, including uploaded media — this is irreversible and cannot be undone once confirmed.
Some records (such as completed transaction history) may be retained longer where we have a legitimate business or legal reason to do so, such as accounting or fraud-prevention requirements.
9. Your choices and rights
- Access & update — review and edit your account details any time from Account Settings, and your card content from the Virtual Card editor.
- Delete — remove your account entirely via Delete My Account.
- Unsubscribe — visitors can unsubscribe from a card's newsletter using the link included in those emails.
- Opt out of the business directory — turn off the "Display Business Directory" toggle on your card.
- Other requests — contact us (see below) for any other request about your data.
Depending on where you live, you may have additional legal rights over your personal data (such as access, correction, deletion, restriction, or portability). We'll honor valid requests to the extent required by applicable law.
10. Children's privacy
Beepscard is intended for business and professional use by adults. It is not directed at children, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we'll remove it.
11. International data
Depending on where you and your visitors are located, your data may be processed or stored in a different country than where you live, including by service providers described in section 6. Where required, we take steps intended to ensure such transfers are handled appropriately under applicable law.
12. Changes to this policy
We may update this policy as the product changes. We'll update the "Last updated" date at the top of this page when we do. Continued use of the dashboard after an update means you accept the revised policy.
13. Contact us

14. Frequently asked questions
Does Beepscard sell my personal data?
No. We do not sell personal data. We share it only with the service providers described in How information is shared so the platform can work.
Does Beepscard store my card number when I pay?
No. Payments are handled directly by our payment processors. Beepscard does not receive or store your full card number — see Payment & billing.
What happens to my data if I delete my account?
It's permanently deleted, including uploaded content, and cannot be recovered — see Data retention & deletion.
What information do you collect about people who visit my Virtual Card?
Analytics (location, device, browser, IP address) if enabled, plus anything a visitor submits — a contact form, newsletter signup, saved contact, appointment booking, or order. See section 3.
Is this the same as beepscard.com's privacy policy?
No — this page is specific to the dashboard app and the Virtual Card/NFC product. The general beepscard.com website has its own policy.
